We are seeking a Head of Feasibility for the U.S. to join our team! 

This position will be home-based. Tempe, AZ location is preferred.

Main responsibilities

  • Provide support/data to Global Feasibility Department and BD team and attend client meetings, teleconferences or bid defenses as required to secure the contract.

  • Maintenance of data to support the metrics and tracking of prospects, enquiries and bids locally and internationally.

  • Assist with the provision of Sales KPI data.

  • Central point of contact for coordination and conduct of feasibility assessments utilizing wide source of data (including but not limited to prediction of source of patients, rate of recruitment, predicted pre-screen and screen fail rates)

  • Close liaison between business development, Clinical Operations, medical experts, finance team, patient engagement and project management and planning teams

  • Analysis of past performance, epidemiology and database data to produce accurate, robust and timely feasibility

  • Production of local study costings, using costing model (analysis with finance team).

  • Timely production of high quality, customer focused proposals

  • Client interaction as project progresses from enquiry to project

  • Maintenance of experience data and development of complete case studies for past and present studies.

  • Maintenance of Enquiry, Bids and Contracts (EBC) data.

  • Provide oversight and support for timely and accurate completion of feasibility questionnaires that are competitive against client expectations and against other sites

  • Provide oversight and support for prompt scheduling of PSSV visits

  • Coordinate handoff of regulatory receipt and budget & contract receipt to appropriate departments at which stage CTM/Projects/Operations is notified of award and planning can commence

  • Maintain routine and professional communication with client throughout the entire process, ensuring maximum # of sites are selected

  • Work with International Contracts Manager to ensure that Confidentiality Agreements are reviewed and signed in a timely manner and saved appropriately.

  • For awarded studies, review the final protocol and produce the final costs for the Country Manager / International Budget Manager for negotiation with Client and appropriate Service Provider Contracts, as required.  Review of costs within the final contract to ensure correct translation between costing model and contract.  Involve Patient Engagement when appropriate.

  • Review protocol amendments and amend costs, liaising with the Project Manager and Country Manager (Director of Operations) / International Budget Manager, as required.

  • Promote and manage effective communication and best practice with the Medics, Feasibility Team, CM (Director of Operations), Projects, Contracts and Patient Engagement.

  • Proactively co-ordinate frequent meetings with the Feasibility Team, to ensure effective and efficient communication.

  • Ensure excellent client interaction.

  • Lead team to ensure professional client liaison and interaction with Business Development to secure contracts.

  • Review of enquiries, conduct of feasibility in a timely manner.

  • Effective handover to Projects team and Operations.

  • Assist projects, Clinical Trial Managers, and Clients in the regulatory/ethics submissions/initial study set-up, providing site list, PI details, and other information as required.

  • Modelling of project plan with projects team, as required.

  • Review actual study metrics against feasibility for all recruited studies.  Implement new processes/develop existing processes as required.

  • Work with CM, Finance, Global feasibility Team and Analysts and International Contracts Manager to ensure that the margin is protected in new costings, revisions and Contracts.

  • Ensure that costings are authorized appropriately prior to distribution to the Client.

  • Ensure that bids are forecast in a timely manner, for the Sales KPIs and recruitment/resource planning.

  • Work with CM, Finance and contracts to understand the study specific risk associated with costing structure and develop appropriate strategies and appropriate payment schedule to minimize risk and protect profit margin. Communicate strategy to the Feasibility Team and to CM.

  • Review feedback from CM (Director of operations) / Finance on profitability of ongoing/completed studies, discussing areas for improvement/further review as necessary.

  • Ensure that the Costing Model is updated in line with Financial, Contractual and Business requirements.

  • Lead concise, timely and accurate handover of studies as part of a multidisciplinary team (CM, DO, BD, Finance, Contracts, Projects).

  • Lead the Feasibility Team, ensuring that appropriate training is provided as required. 

  • Responsible for communicating and implementing business objectives for Client Services within the Feasibility Team.

  • Actively manage and prioritize workflow within the Feasibility Team to obtain optimum productivity, accuracy and quality.

  • Ensure efficient and timely response to internal and external clients

  • Ensure working to Synexus COPs and SOPs, as well as to GCP, regulatory and industry standards.

  • Identify opportunities for self-development.

  • Present a professional and positive image of Synexus at all times.

  • Comply with company policies and operating procedures.

  • Plan work practices to maintain confidentiality.

  • Understand sensitivities of individual contracts.

  • Ensure confidentiality of staff matters.

  • Comply with Synexus COPs and SOPs and highlight areas of potential process improvement

  • Have an awareness of company strategy plans and own contribution to them.

Ideal candidate

  • Bachelor degree and a minimum of 1 year of experience in a project management, or an equivalent combination of education and experience.  

  • Prior experience of business development and promoting and selling services, and/or healthcare or life sciences industry experience preferred

  • Have gained a strong background in providing coordination support to a team with a strong focus on delivering to commercial and recruitment targets, along with a focus on quality

  • Have previous clinic trial related experience, preferably at a global level

  • Understanding of the dedicated research site business model

  • Experienced in providing good customer service, through strong customer interaction and effective delivery

  • Be comfortable interacting across a global organization

  • Strong IT and written literacy skills

  • Have experience of working within a highly regulated environment

  • Be organized and self-motivated to support the success of the team

  • Be assertive, persistent, detail oriented, and comfortable interacting with subject matter experts from within the clinical research industry
